Canada Futures Events, Beyond the White Lines, Grow the Game
At Canada Futures, Beyond the White Lines, and Grow the Game, we understand that unforeseen circumstances may arise. At the same time, significant planning, staffing, bookings, deposits, and financial commitments are made in advance to deliver high-quality camps, evaluations, clinics, showcases, tours, trips, and events.
This policy is intended to provide clarity and fairness to participants while allowing our organization to effectively plan and meet the financial commitments associated with each program.
1. General Event Cancellation 30 Days or More Before the Event Start Date
For camps, clinics, evaluations, showcases, and other non-travel events, participants who cancel 30 days or more before the event start date are eligible for either:
• A 100% refund of registration fees paid, less a $25 administration fee and any non-refundable fees incurred; or
• A 100% event credit, less any non-refundable or non-recoverable costs incurred, that may be applied to a future Canada Futures camp, clinic, showcase, tour, or event.
2. General Event Cancellation 29 Days Before the Event Start Date
Participants who cancel their registration 14–29 days before the event start date are eligible for either:
• A 100% event credit, less any fees incurred, that may be applied to a future Canada Futures camp, clinic, showcase, or tour accompanied by a doctor’s note; or
• A 50% refund, less any non-refundable or non-recoverable costs incurred.
3. Cancellation Less Than 14 Days Before the Event Start Date
Participants who cancel their registration less than 14 days before the event start date are eligible for the above. Please note that at this point in preparation, staff may be unable to respond to your request until completion of the event.
Canada Futures Trips & Tours
Because Canada Futures trips and tours involve significant advance financial commitments, including flights, hotels, transportation, tournament and showcase registrations, deposits, staffing, administration, and planning, separate cancellation terms apply to all travel programs.
Where this section conflicts with the general cancellation terms above, the Canada Futures Trip & Tour Cancellation Policy will apply
4. Trip Cancellation More Than 30 Days Before Departure
If an athlete withdraws from a Canada Futures trip or tour more than 30 days before the scheduled departure date, Canada Futures will make reasonable efforts to recover or avoid costs that have not yet been committed, less the initial deposit.
Any refund or credit will be calculated less all non-refundable, non-transferable, or non-recoverable costs already incurred or committed on the athlete's behalf, which may include:
Flights and airline fees;
Hotel deposits or room commitments;
Tournament, showcase, or event registration fees;
Ground transportation;
Tickets, bookings, or reservations;
Payment processing fees;
Administrative and staffing costs;
Staff work already completed in connection with the athlete's participation; and
Any other expenses or contractual commitments incurred as a result of the athlete's registration and anticipated participation.
Any remaining refundable balance may be issued as a refund or program credit at the discretion of Canada Futures.
5. Trip Cancellation Within 30 Days of Departure
If an athlete cancels, withdraws, or otherwise does not travel with the team within 30 days of the scheduled trip departure date, all trip payments are non-refundable.
By this stage, Canada Futures has made substantial financial and operational commitments based on the athlete's confirmed participation. This may include flights, accommodations, transportation, tournament or showcase fees, non-refundable deposits, staff travel, staffing requirements, administrative work, planning hours, and other trip-related expenses.
Accordingly, no refund or credit will be provided for a cancellation or withdrawal within 30 days of departure, except where Canada Futures determines that exceptional circumstances warrant special consideration under Section 7.
Where possible, Canada Futures may attempt to recover or transfer third-party costs; however, Canada Futures is under no obligation to do so, and any recovery or credit remains at Canada Futures' sole discretion.
6. Removal From A Canada Futures Trip or Travelling Roster
Selection to a Canada Futures team or trip carries an expectation that athletes will continue to meet the standards and commitments communicated by the program.
These may include, but are not limited to:
Attendance and participation requirements;
Payment deadlines;
Athlete conduct and behaviour expectations;
Team and program standards;
Communication requirements;
Training and preparation commitments;
Compliance with athlete, parent, travel, and team policies; and
Other expectations communicated by Canada Futures staff or coaches.
Canada Futures reserves the right to remove an athlete from a trip, tour, travelling roster, or program where the athlete does not meet the expectations or commitments required for participation, including where continued participation is determined to be inconsistent with the standards, safety, functioning, or best interests of the team or program.
If an athlete is removed from a trip more than 30 days before departure, any potential refund or credit will be determined in accordance with Section 4 and will be less all non-refundable, non-transferable, committed, or otherwise unrecoverable costs already incurred.
If an athlete is removed from a trip within 30 days of departure, the cancellation terms in Section 5 apply and trip payments are non-refundable.
Removal from a trip or travelling roster does not release the participant or parent/guardian from financial commitments already made by Canada Futures based on the athlete's confirmed participation.
Canada Futures will make reasonable efforts to communicate concerns and expectations before removing an athlete from a travelling roster where circumstances reasonably allow. However, serious conduct, safety, behavioural, or policy concerns may result in immediate removal.
7. Medical Emergencies, Injuries, and Family Emergencies
Participants unable to attend due to a documented medical condition, injury, or family emergency may request special consideration.
Supporting documentation may be required.
Canada Futures may provide a full credit, partial credit, refund, alternative accommodation, or no refund depending on the circumstances and costs already incurred.
Any refund or credit will be less non-refundable, non-transferable, or non-recoverable costs already incurred or committed by Canada Futures.
For trips and tours, Canada Futures cannot guarantee reimbursement for airfare, accommodations, tournament fees, transportation, or other third-party costs that cannot be recovered.
Participants are encouraged to obtain appropriate travel and cancellation insurance for Canada Futures trips.
Special consideration under this section is determined at the discretion of Canada Futures and does not guarantee a refund.
8. Event Cancellation by Canada Futures
If Canada Futures cancels an event or trip due to circumstances within its reasonable control, participants will be offered:
A refund of fees paid for the cancelled program, less any applicable non-recoverable third-party costs where appropriate; or
The option to transfer eligible fees to a future Canada Futures program.
Where an event or trip is cancelled, postponed, relocated, or materially affected by circumstances outside Canada Futures' reasonable control—including severe weather, natural disasters, travel disruptions, government restrictions, facility closures, tournament cancellations, or other circumstances beyond our control—Canada Futures will make reasonable efforts to recover committed funds and determine available refunds or credits based on the amounts that can be recovered.
Canada Futures is not responsible for additional travel, accommodation, meals, transportation, insurance, or other expenses independently incurred by participants or their families.
9. Event Credits
• Event credits are non-transferable and may only be used by the registered participant.
• Credits must be used within 24 months of the original event date unless otherwise approved by Canada Futures.
• Credits have no cash value and cannot be redeemed for cash.
• Credits may be subject to availability and differences in the cost of future programs.
10. Processing Fees and Administrative Costs
Payment processing fees, registration platform fees, administrative costs, staff planning costs, and other non-recoverable expenses incurred by Canada Futures may be deducted from any refund or credit issued.
For trips and tours, non-recoverable expenses may also include airfare, hotel commitments, transportation, registration fees, deposits, staffing costs, and other expenses incurred or committed based on the participant's confirmed attendance.
11. Requesting a Cancellation
All cancellation requests must be submitted by email (info@canada-futures.com) to Canada Futures.
The effective cancellation date will be the date the written request is received. Verbal notification to a coach, staff member, or volunteer does not constitute formal cancellation.
12. Refund Processing
Approved refunds will be processed as soon as reasonably possible after the cancellation request and after Canada Futures has determined any applicable committed or non-recoverable costs.
Refunds will be issued to the original method of payment whenever possible.

By registering for a Canada Futures camp, clinic, showcase, tour, evaluation, or event, participants and their parents/guardians acknowledge that they have read, understood, and agree to the terms of this Refund & Cancellation Policy.
